Payment
- A 50% advance booking confirmation fee is required to secure your preferred trip.
- The remaining amount must be paid in Kathmandu before the trip’s departure.
- The trip costs are fixed; however, the price may vary based on any customization you request.
- A 3.5-4% service charge may apply when transferring the advance confirmation fee; this charge is not included in the total trip cost.
- All major currencies are accepted at the exchange rate of the given day. The exchange rate doesn’t change the total trip cost (in USD).
Trip Cancellation and Refund
- Refund of 50% booking confirmation fee for trip cancellations a month before departure
- Refund of 25% booking confirmation fee for trip cancellations a week before departure
- No refunds on trip cancellations a few days before the departure
- Must pay a complete trip fee for trip cancellation on the departure day
- No refunds on trip cancellations due to personal reasons, sickness, or injuries after embarking on the trip.
Early Return
Unforeseeable circumstances are beyond anyone’s control. Thus, it often leads to early termination of the trip and return. For instance, altitude sickness, food poisoning, injuries, and natural calamities result in trip termination.
In such instances, there’ll be no refund at all. Primarily, the trek guides and porters must be paid in full, whether you complete the trip or not. Moreover, other trip expenses include flight reservations, hotel bookings, lodges along the trek, and more.
Hence, early return from the trip is non-refundable.
Trip canceled by NepTrek
We reserve the right to cancel the scheduled trips under various circumstances. For example, natural calamities, flight cancellations, civil wars, protests, sickness, government interventions, and weather conditions. In such cases, we’ll refund your trip booking confirmation fee with deductions that we’ve already spent on logistics, flight ticket bookings, trip entry permits, etc.
Flight Delays and Cancellations
The flight delays and cancellations are common in most destinations in Nepal. For example, if you’re for the Everest Base Camp Trek, you must fly to Lukla airport. As this airport sits at 2,860 meters, even the slightest change in weather results in flight delays and cancellations. Hence, at such times, we’d have no option but to wait for the weather to improve.
The expenses incurred due to flight delays and cancellations are not included in the trip cost. Thus, you must pay any expenses incurred in such instances.
Helicopter Flight
All the trip costs except helicopter tours include regular domestic flights (Everest Base Camp Trek). Thus, if you consider flying on a helicopter, it falls under trip customization, which is subject to the change in trip price.

Cost Includes and Excludes
The Cost Includes and Excludes section mentioned on every trip is what we provide to you after booking the trip with us. These are the things you can expect while you’re on full-board service with us.
Postponing the Trip
Should you consider postponing the trip, you’re most welcome. However, the time you inform us regarding trip postponement can result in advance booking confirmation fee deductions.
Postponing the trip is valid for a year. Moreover, if the trip cost increases within a year, you need to pay the additional increment amount.
Medical history and Travel Insurance
Before embarking on a trek or tour with us, we recommend that you get a health checkup. Medical checkups and suggestions from a physician let you know your health condition.
We don’t encourage you to embark on trek or tours if you have existing health conditions like chronic heart issues, high blood pressure, breathing issues, etc. At higher elevations, these conditions can exacerbate and put you at risk.
Moreover, we suggest that you purchase travel insurance before traveling to Nepal. The travel insurance gets you a helicopter rescue during medical emergencies, particularly when you need an airlift from higher elevations. Moreover, the travel insurance covers the medications and hospitalization costs, which saves you thousands of dollars.
Note: The trip cost doesn’t include the travel insurance and helicopter rescue. NepTrek Adventures provides travel insurance for its trek guides and porters only.
Services missed or unused
All services mentioned in the Cost Includes are included in the trip price you pay to us. You’re welcome to use all the services provided during your trip with us.
However, you can’t ask for a discount or refund if you fail to use the services. We don’t refund or provide a discount on the services that are included in the trip cost, but you don’t utilize them.
Trip Duration Changes
We’ll not make any refunds if you complete the trip before the planned date. However, the additional days will be subject to the extra costs.
Personal Belongings: Loss or Damage
Our trek porter and entire crew try their best to keep your luggage and backpacks safe along the trek. However, your belongings might get damaged while transporting them via flights, buses, or pony. On such occasions, we won’t be responsible for the loss or damage of your personal belongings.
To protect against theft and damage, we recommend you purchase a comprehensive travel insurance policy.
Publicity: Images and Videos
NepTrek Adventures can publish any of your photos and videos from the trips on social media platforms and websites for sale and promotion. Agreeing to these terms means that you grant permission to use your photos and videos. However, if you explicitly request not to publish any photos and videos that include you, we’ll abide by the request.
Privacy
All the information you provide us (passport details, contact information, insurance details, emergency contacts, etc.) remains with us safe. All your personal information will be used for the trip. For example, your personal information and documents will be required for entry permits, flight tickets, hotel bookings, etc.
Apart from the trip, we keep your information private and safe.
Updating Terms and Conditions
NepTrek Adventures reserves the right to amend terms and conditions at any time. Thus, we request our valued clients to read our latest terms and conditions before booking trips with us.
